Tips and Tricks to Streamline Your Workflow

Do you ever wonder how to reapply client or vendor payments? A very common request is how to move client or vendor money from one item to another. In this tip, Teryl describes how to reapply client payments in two steps and goes into precise detail how to reapply vendor payments.

Reapplying Client Payments

This must be done in two steps:

1. Put the money back into Funds Available.

  • In the Money In screen, change the Payment Method to Apply Payment.
  • Scroll to the bottom half of the screen. (Do not enter a dollar amount in the Amount field of the red #2 area, but you can adjust the date and description as you like.)
  • Enter the negative amount in the Amount to Apply field on the item you want to remove the money from.
  • If you do not see the item, change the Filter from Item Balance to All.
  • Click Post Payment.

2. Apply to the new item from Funds Available.

  • Enter a positive amount in the Amount to Apply field on the item you want to apply the money to.
  • Click Post Payment.

Reapplying Vendor Payments

  • In the Money Out screen, click on Order Payments.
  • In the upper right, change the Payment Code to Manual and enter Reapply in the Check # field.
  • Locate the PO you want to remove the vendor payment from. If you do not see the order, change the Filter from Order Balance to All.
  • Enter a negative amount in the Amount to Pay field on the item you want to remove the money from.
  • Click Create Entries.

  • Enter a positive amount in the Amount to Pay field on the item you want to apply the money to.
  • Click Create Entries.
  • Close and Refresh to return to the Money Out screen.

  • Click Post Manual to post both entries.
